Cruden Group, a construction and development company with offices in Warrington and Salford, has implemented a document management solution, supplied by Avanquest Solutions to “improve efficiency and the security of documents, and eliminate the “grotty, grubby files!” (Alan Sanderson, ICT Manager, Cruden).

In 2003 Sanderson identified the problem that Contract Managers, Quantity Surveyors and Site Managers often needed to get hold of documents at short notice from mobile site offices.

He also recognised that the company also needed to address the gathering of files for client reporting – the Job Packs. The company was employing three or four staff to do nothing other than trawl through paper-based files in traditional filing cabinets to find relevant documents.

Furthermore, the cost of storing this mass of paper was notable and rising. One site alone was costing the company £10,000 annually.

So in 2006, Avanquest Solutions installed an Alchemy document management solution which integrated with Cruden’s existing business process management system – Metastorm. Metastorm automates, manages and controls processes, providing the additional facilities to enhance workflow.

Staff at the head office in Warrington scan all inbound documents, such as job sheets and supplier invoices, and distribute them throughout the business in electronic format. Documents are accessible from all office and site locations.

At Cruden Property Services the job packs are prepared in a fraction of the time previously taken, allowing Cruden to utilise their human resources in other administrative roles within the business.

“Alchemy has proved a sound investment” says Alan. “The efficiencies, plus the saving of paper, printing costs and physical storage of documents means we will have paid for the system within two to three years.”
