Secure email archiving combined with swift retrieval and rapid RoI

18th March 2003 – British based electronic archiving specialists Archive-it today launched version 2.0 of its secure email archiving software, MailStore. The only email archiving system to be built specifically to meet the requirements set out in the British Standards Institution Code of Practice for Legal Admissibility and Evidential Weight of Information Stored Electronically, MailStore’s archiving offers the highest level of security in the commercial world combined with swift retrieval.

Important new features include support for Hierarchical Storage Management (HSM), which enables users to integrate the email archive easily into their overall storage management strategy, improved usability with an enhanced Graphical User Interface (GUI), increased performance and a PST migration tool.

The PST migration tool will enable organisations using Microsoft Exchange to move legacy pst (personal storage) files to the MailStore archive, providing a dramatic reduction in storage costs and back-up bandwidth requirements by storing just a single copy of each email that every recipient of the message can access.

“Major storage and network bandwidth problems caused by pst files are costing large organisations millions of pounds every year. Although backup software can check files and store only those that have changed, this is not practical with pst files because just one email received or sent will result in the pst file being changed, consequently most organisations back-up the whole file every time. This has lead to email pst files forming a large part of an organisations back-up data, sometimes as high as 50%,” comments Dean Davies, Managing Director of Archive-it.

“Version 2.0 provides organisations with the opportunity of not only reducing their current email storage costs from now on, but also to reap back some of the valuable storage space and provide a faster return on investment by migrating legacy pst files into the MailStore system,” he continues.

Companies that use HSM systems over large distributed networks will also be able to benefit from the support now offered in MailStore V2.0, through further reductions in email management and storage costs as aged documents can be transferred to slower but less-expensive mediums automatically.

About MailStore

MailStore is the only email archiving system to be built specifically to meet the requirements set out in the British Standards Institution Code of Practice for Legal Admissibility and Evidential Weight of Information Stored Electronically. Its comprehensive audit trail already allows organisations to demonstrate compliance with the most exacting of industry and government regulations worldwide, in addition to providing evidential weight to email documents produced in a court of law.

MailStore categorises, encrypts where necessary, stores and manages all emails in a Microsoft SQL Server database and provides fine granular policy control over each individual email message. The message policy can be set by the administrator and is based on a number of criteria including To, From, Keywords and Content Type and defines how long each message is to be kept. This ensures that legal and regulatory requirements for the retention and audit of specific documents can be met easily.

MailStore has already been deployed in a number of organisations, including London Underground.
