Since installing new document management and imaging software from Version One, the Finance Department at medical products distributor, Intavent Orthofix, have to watch what they eat. “Every installation of Version One’s Document Management software should come with gym membership and a warning that it can make you fat!” says Barbara Wood, Finance and Systems Manager at the company, which distributes anaesthetic and orthopaedic products to NHS Trusts around the country.

“Almost everyone who joins the company puts on weight – constantly grazing on treats brought in by representatives, but since installing the Version One software, things have become far worse! No longer do we have to leave our desk and trawl around the filing systems to locate paper documents, we simply click on the mouse and up pops the document before our very eyes. With another click of the mouse, we can automatically e-mail or fax these to the customer from our desk,” Barbara continued.

On a more serious note, the management at Intavent Orthofix expect to see tremendous savings in time and money as they find more and more uses for their document management system. Output from the existing accounting system is automatically archived and can be instantly accessed in a number of ways. Tremendous space savings will be achieved, since paper documents are no longer required. All incoming business documents such as supplier invoices, PoDs, etc. will also be automatically scanned into the system and then shredded. Efficiency in dealing with customer and supplier queries is dramatically increased and the huge savings in stationery, labour and storage costs mean that the software has a very fast payback period.

“In addition, the software will give us major advantages in our disaster recovery programme,” Barbara Wood added. “Since we cross back-up our data nightly, should the worse happen, most of our documents will be in electronic image format so we can still issue copy invoices etc. for customers. The finance team has used the software from day one, the customer service department will soon be fully utilising the system, and the warehouse staff will be on stream shortly after that.”

The Version One document management and archiving software is tightly integrated into the existing corporate accounting system at Intavent Orthofix, whose product brand portfolio includes Colgate Medical, Intavent, Novamedix and Orthofix.
