The recent acquisition of UK-based Boulter Boilers into the billion pound pan-European Buderus Group, has been facilitated with the use of software from document management and imaging company, Version One Ltd.

A leading UK oil-fired boiler manufacturer, Boulter Boilers was acquired in December 2002 by Buderus A.G. as a springboard into the mass gas-fired heating market. Boulter Boilers had recently integrated new document management and imaging systems, together with laser forms printing software, from Version One, into their existing ERP and Accounting software.

Chris Hayes, Boulter’s Financial Director, explained, “The procedures involved in our recent acquisition were extremely complicated and we took the unusual step of acquiring the assets and business of Boulter Boilers Ltd through a previously dormant UK company. We had to move extremely quickly and Version One’s software enabled us to meet our deadlines by immediately providing us with new invoices, letterheads, despatch notes, etc. Ease of use of any software, by our large and diverse workforce is a high priority and thankfully, we were able to accelerate the introduction of DbArchive into all departments, cutting through the usual barriers that might have been erected whenever change is introduced.”

DBArchive replaces Boulter’s ageing microfiche system, which was slow and cumbersome and made document location extremely difficult. Staff would take several days to pluck up courage to use the system and say it was pot luck as to whether they retrieved documents, which could take up to an hour. Paper copies were therefore retained until the last possible moment before microfiching. The new software from Version One is being used for company-wide documentation, scanning and imaging all incoming documents and automatically archiving all output from the accounting and ERP systems, eliminating the need for paper copies and associated filing space.

Peter Annis, I.T. Manager, continued, “Now, everyone authorised to use our ERP system has access to an extremely powerful new document imaging system, allowing staff to retrieve relevant documents from their desktop literally within seconds. This is a huge leap forward in our technology and will give us extensive cost and efficiency benefits throughout the company.

“We’ve recently been visited by HM Customs and Excise to check out our new document management systems and we’re delighted they’ve given us the green light and have fully approved everything.”

Senior finance staff at the new Boulter Buderus organisation, say they’re very impressed with the potential for their new archiving system; various projects are now being investigated, including scanning and archiving all technical documents, which could then be accessed by clients and distributors via the company’s web site.

“We’d been using DbFax for some considerable time and were aware of Version One and the efficiency of its products. We found DbArchive to be versatile enough to allow our users both immediate electronic access to documents, as well as a ‘comfort zone’ of security should they require paper copies,” concluded IT Manager, Peter Annis.
