Council adopts BEAP to help manage mail for 15,000 pupils

24/09/03, UK: Aberdeenshire Council today announced that is has
implemented the BEAP MAILSweeper Adapter from Extend Technologies to help
provide more effective email management for the region’s 17 secondary

John Finnie, Head of Service in the Education & Recreation Service said,
“Being a rural community, Aberdeenshire Council recognises the need to
bring people together electronically and this extends to our young people.
It is seen as essential in order to gain the trust of parents that any
electronic communication be filtered to ensure that young people receive
email that is free from inappropriate sentiments or materials. The
challenge to administer this task, taken by the Education & Recreation and
Personnel & ICT Services, was to investigate and provide a solution and we

According to Aberdeenshire Council Support Analyst, Andy Harrold, the
lead-up to the decision to purchase BEAP can be traced back to 18 months
ago when Aberdeenshire Council started using the MAILSweeper email content
filtering solution from Clearswift: “MAILSweeper was so effective at
blocking messages that it wasn’t long before I was spending several hours
every day processing and releasing messages so that the pupils could
receive them. I really needed to find a way of sharing the responsibility
for managing quarantined emails, so I could get on with my other duties.”

Then Andy was introduced to the BEAP MAILSweeper Adapter – which has been
developed to allow organisations to devolve the management of MAILSweeper
message areas to authorised users in multiple locations. Using BEAP, Andy
Harrold has empowered the IT technicians at each of the authority’s 17
secondary schools to manage their own mail areas.

“It’s a much more effective way of managing quarantined mail,” enthused
Andy Harrold. “Instead of just one person processing blocked emails for the
15,000 secondary pupils, we now have 17. And thanks to BEAP, the
school-based ICT technicians can process mails at anytime from a
web-enabled PC, which means that the students get their mail much faster
than before.”

BEAP also simplifies the management of mail areas by presenting each
technician with only the emails that apply to their own particular
establishment. The technicians can also use BEAP to instantly verify the
status of MAILSweeper service, as well as monitor queue lengths and message

The benefits of BEAP at Aberdeenshire go beyond the management of email;
ICT Support Team Leader, Iain Macaslan, explained: “By adopting BEAP, we
have saved over 15 man hours a week – which is like having an extra person
on the team. This has allowed us to restructure the support unit to
provide an even better service to both our secondary and primary
