Black Cat Fireworks, importers and manufacturers of Britain's favourite brands of fireworks - "Standard" and "Black Cat" - have geared up for their seasonal peak by implementing a new Document Management and Imaging system from Version One. This system integrates tightly with their existing financial and transport software, handles all output from Black Cat's existing ERP system and dramatically reduces the amount of paper that staff have to handle.


Finance Director, Jason Armitage, said " Our documents are a little more involved than many, requiring important safety information and details of the net weight of explosive content. With our new system, an electronic copy of each customer document is automatically filed and cross-referenced. This not only saves enormous time, but also means documents are instantly available throughout the network to anyone needing them. For example, the transport department can now retrieve any despatch note on screen - by customer, order number, date or by load; sales staff can access order acknowledgements and invoices - by customer, date, postcode or value."



Like most distributors, Black Cat need to take particular care of Proofs of Delivery. Black Cat's despatch notes incorporate a barcoded tear-off 'POD' which the customer signs and returns to the driver. These coupons are scanned as soon as they are returned to the transport department; the DbArchive software then interprets the barcode and automatically files the POD - cross-referencing it with both order and invoice.


To cope with demand at peak times, Black Cat use external carriers, who have their own delivery documents and return electronic PODs to Black Cat via email. These documents can now be processed and stored within the Document Management System, so that every despatch has a P.O.D. on file. The Version One software can even generate an exception report of depatches which don't have a POD, so that prompt action can be taken.
