Orchestria Launches Latest Real-Time Email, Web and IM Compliance Software

Orchestria, a provider of real-time visibility and control solutions for

email, the Web, Instant Messenger and other electronic communications, today

announced immediate general availability of Active Policy Management (APM)

v2.2, the latest version of its electronic communications management


As UK organisations come under increasing pressure to adhere to industry

regulation and guidelines such as the FSA's Code of Conduct, the Higgs

report on corporate governance, the Basel II Accord and the Turnbull Report,

Orchestria's APM enables corporate compliance officers to monitor, archive

and audit "unstructured" communications, such as those sent and received by

email, the Web, instant messaging, to ensure that all messages adhere to

corporate and regulatory policy.

Orchestria's unique 'active policy' functionality means the software can

intervene before the communication leaves the sender's desktop, giving users

the opportunity to review, edit or abandon non-compliant communications

before they are sent.

Already in use by major organisations, including a number of Wall Street

banks, Orchestria's APM v2.2 contains a number of significant new features.

These include enhanced rules for retention of data; advanced search

functionality and more intelligent data lookup.

Enhanced Data Retention Management


Many industry regulations stipulate that company communications must be

archived for defined periods, according to content, before being destroyed.

APM v2.2 is unique as it dynamically sets expiry dates according to content

on all communications, ensuring that data is deleted as soon as it is legal

to do so. This frees up valuable disk space and ensures that any

communication that may become non-compliant beyond its lifetime is deleted.

On the expiry date, communication is marked and automatically deleted. An

over-ride mechanism suspends deletion in certain circumstances, for example,

if a regulator has indicated that they will be subpoenaing email evidence

and emails related to a certain period/person or topic should not be

destroyed. This means that APM allows unrivalled granularity in document

retention which significantly mitigates the risks associated with email


Data Export Functionality


With APM v2.2 businesses can respond to legal and regulatory 'discovery'

requests with speed and cost effectiveness. When faced with a request from

regulators, organizations are faced with either handing over sets of backup

tapes or the difficult and time-consuming task of identifying and extracting

relevant emails and audit trails. APM v2.2's search functionality enables

compliance officers to identify and extract only those communications that

are relevant to the investigation in hand and deliver them in a

self-contained application that shows relevant search results only. This

unique self-contained solution minimises the risk associated with providing

regulatory bodies with email archives.

Intelligent Intervention


Enhanced data lookup functionality in Orchestria's APM v2.2 significantly

boosts the software's ability to decide when to intervene in a user's email

communication. Data lookup provides real-time consultation of external

databases, directories and third party applications to determine factors

such as whether the user is authorised to send the type of message he or she

has drafted or whether all of the designated recipients are authorized to

receive it. The presence of an unauthorized recipient, for example, will

trigger the software to alert the sender and identify the unauthorised

person, giving the sender the opportunity to remove that person from the

distribution. This means that APM prevents non-compliance by enforcing

information boundaries in real-time and at the desktop.
