UK Government Department to rollout an enterprise-wide electronic document and records management (EDRM) system to 4,000 users.
Following a pilot scheme, the Department for Constitutional Affairs (DCA) is set to roll-out an EDRM system from TOWER Software to 4,000 HQ users. This is prompted by DCA’s desire to improve efficiency, while complying with electronic governance and Freedom of Information requirements. The TRIM Context system infrastructure has been designed to handle an expected five terabytes of information over the next five years – an estimated 41 million pages of information.
DCA, which is responsible in government for upholding justice, rights and democracy, generates significant volumes of paper every year. The new system, supplied by Unisys and Liberata, will enable the department’s employees to improve the sharing of information and more rigorous record keeping.
“The system selected had to be proven and low risk,” commented Tony Sumpster, Managing Director, EMEA at TOWER Software. “TRIM Context is already in use by many other government departments, and seemed the most appropriate and scalable solution for this size of implementation,” he added, “It’s capable of handling every document DCA creates, from email to Word documents, images and physical paper.”
Celia Wood, Manager of DCA’s e-RM Project added, “In order to serve the public more effectively, we are driving forward improvements to customer service, developments in policy and modernising and safeguarding the constitution. This system has been piloted with 47 users since November 2002 to ensure that our business processes were absolutely correct, and also that we achieved a detailed understanding of the full range benefits to be derived from it. Early signs from our pilot users are that with an EDRM system in place we might operate more efficiently, mutually and cost-effectively,” she concluded.
The TRIM Context system will be rolled out over 12-18 months.
