KVS, the global market leader in content archiving solutions for Microsoft Exchange, Microsoft SharePoint Portal Server and file server content, today announced that Gloucester City Council is the latest government office to have installed Enterprise Vault, the market’s most comprehensive content archiving system.

Gloucester City Council serves the historic city’s population of over 100,000, comprising approximately 45,000 households. Like most councils, Gloucester City Council exists to provide a range of public services for the residents of the City such as refuse collection, street cleansing, housing services, planning functions, environmental health functions, leisure services and many others.

However, unlike many other councils, Gloucester’s magnificent cathedral is also home to the Harry Potter film set. Using venues in Gloucester for television and films is quite common – many a production has come under the jurisdiction of the city’s council, where the mountains of correspondence – for filming and of course day to day council business such as planning permission, council tax and other residential enquiries are handled by a team of more than 800 local government officers.

“All our email correspondence has to be properly archived, easily retrievable and totally accountable to meet the compliance needs of a business with a hundred thousand customers. The freedom of information act and other statutes government offices must comply require local authorities to provide and account for data electronically throughout its life.” says Andy Bowler, senior ICT officer at Gloucester City Council.

“By implementing Enterprise Vault from KVS, we have been able to manage our users’ mailboxes more proactively, manage the lifecycle of each email with Enterprise Vault’s auditing capabilities to meet our compliance needs and make the users’ lives easier, especially in instances where a complete communications trail is needed.” Bowler continues.

“The need for our users to keep all their emails has also been taken off their shoulders as we can now capture all email correspondence, without limitation. We send and receive hundreds of emails each day and Enterprise Vault handles them all.”

Following a market evaluation, Gloucester City Council decided to adopt Enterprise Vault as its email management solution of choice. The Council had started implementing Enterprise Vault in February 2004 and is rolling out the system team by team so all users are up and running by Summer 2004. In total, this will include all email enabled Council employees. Currently running on Microsoft Exchange 5.5 on an NT4 server, GCC are gradually migrating to Windows 2000/3.

Enterprise Vault addresses the problems arising from the on-going proliferation of unstructured data including email, providing automatic, policy driven Mailbox and Public Folder archiving, PST import, and mandatory journaled mail retention. This functionality turns the email store into a reliable and dependable source of intelligence, delivering properly documented audit trails, in order to adhere to regulatory and corporate compliance guidelines, ensuring clear and permanent records of both current and historical information, as well as providing an efficient means for quickly identifying, searching, finding and retrieving communications on specifications, outputs or service level agreements etc., at the touch of a button.
