Iconium is today launching a state-of-the-art corporate information management methodology for the centralised distribution of policies and procedures to employees and other parties.

To be known as POLICY MANAGER2, the new methodology is designed for the creation, distribution to staff, and maintenance of corporate policies, procedures and other standard documentation. Distribution is according to individual job profiles. A key feature of POLICY MANAGER2 is the recording of recipients’ compliance actions. It is template driven and so simple to use and implement, and being a web-based methodology, overcomes organisational structural issues of department or geography. It uses Microsoft.NET technology.
First implementation of POLICY MANAGER2 is planned for December 2004.

In cases of compliance, the user is required to ‘tick the box’ to denote acceptance and understanding of a policy or procedure. There is also multi-choice question capability to underline understanding where required.

POLICY MANAGER2 is to be charged on a subscription basis of £365/month for up to 100 users. This is for a three year licence period and includes the provision of POLICY MANAGER2 server software, templates and software licence. Additional users are to be charged at £0.75 per month up to 1000. Thereafter, the charge is £0.50 per month per user. There is no limit to the number of users. Subscription rates for shorter licence periods are available on request.

For an additional subscription of £195 per month the ESP Server appliance that is supplied includes all the server hardware and software licences (Windows and SQL Server) required to run the software. As an alternative for smaller companies, Iconium plans to provide the system on a managed service basis, set to be available in 2005.

Originally, POLICY MANAGER2 was designed as part of Iconium’s ESP security management suite and for that reason, is preloaded with ISO 17799 information security policies. However, it is suited for any policy standard including ISO 15000 or ITIL, ISO 9000 and many others.

“Policies and procedures are generally a big yawn in the eyes of most employees and manual paper systems end up unread in the drawer, a literal waste of space”, comments Toby Waldock, Iconium Business Development Director.

”But corporates ignore compliance issues at their peril. For example, ISO 17799 contains standards for information security and unless they ensure that relevant staff have agreed to comply with those standards, they leave the door open to massive legal damages”.

POLICY MANAGER2 uses a low cost template-based methodology that is quick and simple to implement and easy to maintain. Policies are input to POLICY MANAGER2 using standard library templates. During the process of publishing, a user with the appropriate privileges can define to whom the policy is applicable and if it requires the recipients to acknowledge reading and agreement to comply. The policy is then published to relevant staff, with POLICY MANAGER2 maintaining a database of the activity and subsequent recipient compliance.

Similarly, procedural templates allow for the definition of organisational functions, such as sales reporting, credit control, health and safety, order processing, HR and recruitment. These are made available to relevant staff, and when updates occur, notifications are sent, with mandatory acknowledgement and compliance defined as and where required.

With procedural templates, a user will also be able to embed files, such as Adobe PDFs, PowerPoint and video files. This widens the applications for POLICY MANAGER2 to include such areas as corporate induction and on-the-job training.

Implementing any new system requires some reorganisation and rationalisation and thus Iconium believes that a significant route to market will be via consultants. For this reason, the Company will be introducing a consultants training and accreditation programme.
