Pfizer has contracts for the supply of prescription products to every single
hospital in the UK. Memba Context software helps ensure the contracting
process is visible, understandable and manageable


Following the acquisition of Pharmacia in 2003, Pfizer is now the largest
pharmaceutical company in the UK. The company is the top supplier of
medicines to the National Health Service (NHS) and every day in 2002, over 2.7
million people in the UK took a Pfizer medicine.

In the UK, the company sells its prescription products under commercial
contracts with hospitals. It is a massive operation, governed by strictly regulated
procedures for tender, award and supply.

When Pfizer realized that they needed a system for managing the contractual
process, anticipating new commercial opportunities and delivering timely
management information, they chose Memba Context software to ensure their
commercial contracts worked as effectively as their prescription products.

As an organization, Pfizer has to be able to respond to a range of different
customers. Each country in the EU has a national contracting authority. In
England, hospitals tender for the procurement of prescription medicines
regionally. In addition, smaller consortia tender for products that don't fit into the
main procurement process and specific hospital trusts negotiate directly with
Pfizer for the supply of products. Pfizer manages the distribution of its products
to the hospitals via a network of pharmaceutical wholesalers.

"There is a clearly defined public procurement process governing the purchase
of prescription products," explained Ian Hoban, Commercial Development
Manager, Pfizer. "We needed something that would help us to manage the
process, track tenders and awards, notify wholesalers, maintain management
information and business intelligence."

Historically, the company relied on a combination of spreadsheets, emails and
faxes to respond to tenders, manage the contractual process and appraise staff
of forthcoming tender opportunities. With the acquisition of Pharmacia, Pfizer
then acquired a further range of different business systems and it became
apparent that the company needed a solution capable of managing the complex
contractual process. "The core driver for sourcing a contract management
system was to put all the contracts pertaining to secondary care (hospitals) in
one place," said Ian Hoban.

Pfizer started looking for a solution in June 2003 and considered developing an
in-house system, before finally deciding on Memba Context. A significant factor
in the decision to choose Context was flexibility. Major new contract processes
are continually being introduced and Memba Context is highly customizable to
suit changing processes and procedures.

Another key driver was visibility of information to other parties and business
units. Pfizer has several hundred active contracts encompassing every single
NHS and private hospital in the UK. "We might be responding to a tender for
300 different products of which 30 are ours," commented Ian Hoban. "When we
come to price the response we wanted to be able to look at what happened on
previous bids. Memba Context offered us the capability to manage that process
quickly and efficiently."

Memba and Pfizer pulled together the information they had on various
spreadsheets and systems. Working in collaboration they loaded all the
contracts pertaining to the sale of products to the secondary care sector and
integrated Pfizer's huge product catalogue. Workflow was another key criterion
in the decision to work with Memba, so the system was configured to automate
the tasks and milestones associated with contract award and renewal.

"I am delighted with the results," confirmed Ian Hoban. "If tenders are coming
up, they are automatically flagged so that someone can spot them. We are able
to look ahead at significant milestones and new tender opportunities and plan
activities appropriately. Previously it would have taken many man hours to
assemble the information for reviews. Now we can bring it together in a matter
of minutes."

A further major benefit has been the visibility of information within the
organization. It is now a simple matter for a Pfizer Product Manager to find out
how much business is tied up in the next 6 months or what is secured to the
end of the fiscal year. Prior to the introduction of Memba Context it was difficult
to establish this information.

Pfizer have built in functionality, which will enable the automation of some of the
back office operations associated with wholesaler distribution, which are
currently managed manually. "This will represent a dramatic saving in time and
money and will benefit our supply chain," said Ian Hoban. "We needed a system
where we could all have up-to-date access and visibility of management
information. That is exactly what Memba Context has delivered."
