Abandons paper archive in favour of electronic scans

Slough, England – 26 November 2004 – npower, one of the UK’s top energy suppliers, has installed an automated invoice processing system from integration specialist, BancTec Limited, to process the 100,000 plus purchase invoices it receives annually. Incoming invoices can now be scanned and processed automatically reducing errors and improving efficiency for the company's accounts department.

The new BancTec system scans up to 1,000 supplier invoices per day at the Account Payable section of npower's Shared Service Centre in Worcester. The system has been linked to npower's Oracle Financial system and can not only identify the supplier but also locate and validate the invoice against purchase orders and perform arithmetic checks on the figures.

The new system also archives all the scanned invoices. Financial administrators can call up the invoice image from within the accounts software or from a web-based solution provided by BancTec. Electronic archiving also removes the need to store paper copies of invoices for six years.

"This is a very neat solution to a paper mountain that was wholly unnecessary," said David Shields, IT Project Manager at npower. "The new system means a single operator can process all our purchase invoices, freeing up time for staff to take on alternative work. We’re looking at extending the system to other divisions in the near future."
