15th March 2005 - As one of the country’s leading leisure management contractors, administering a wide range of facilities on behalf of local authorities, Sports and Leisure Management Ltd has recognised the benefits of automated document imaging and workflow and is implementing specialist paperless office software from Version One, which integrates seamlessly into its existing Great Plains financial accounting system.

“We were already committed to Great Plains software, so a document imaging system had to be fully compatible,” explained David Bibby, Financial Director of SLM, which manages facilities including Swimming and Leisure Pools, Ice Rinks, Bowls Halls, Athletics Stadia, Food and Beverages and Outdoor Facilities. “As well as allowing us to archive a multitude of business documents and instantly access these together with all associated documents, we have some very specific business requirements for Version One’s document management system.”

SLM currently have over thirty sites, each ordering goods and services locally. Purchase invoices for these goods come into head office and need to be correctly authorised by the purchaser prior to payment. Obviously, this amounts to hundreds of thousands of accounting documents. Version One’s document imaging system automatically scans batches of supplier invoices and cross-references them to all the appropriate transactions.

David Bibby commented, “The whole procedure is now totally streamlined. One of the greatest benefits of the Version One document management technology is that it enables authorisers to see an image of the relevant documents, rather than just a standard transaction screen.
