11th May 2005 - The David Lewis Centre, a charity with an income of £25 million providing care, treatment, and residential accommodation for people with epilepsy and related conditions, has gone live with Version One’s document management and imaging system and CedarOpenAccounts finance, procurement and project management system. The charity had a requirement for a truly integrated system that could not only meet their own requirements, but also those of partners and care funders, such as Local Authorities and Primary Care Trusts.

The solution they chose was Version One’s document management and imaging system, DbArchive. This solution, which seamlessly integrates into the CedarOpenAccounts system, allows finance users to instantly view scanned Accounts Payable invoices for approval and checking purposes. The implementation of this system has allowed David Lewis to free up vital office space, otherwise used for storing paper invoices, and to speed up financial processes for more efficient invoice approval. David Lewis aim to further expand the use of the scanning system to incorporate non-finance forms, such as Patient records, legal contracts and HR forms.

David Lewis are currently planning Phase Two of their new finance system roll-out for later in 2005; this will allow the core finance team to work with their remote care site managers as part of an ‘extended’ finance system via the web. The web-based system will further reduce the flow of paper around the organisation and substantially speed up processing.
