Monitoring patients’ health, diagnosing illness and coming up with a cure are what the health service is all about. But when it comes to checking their own performance, many NHS trusts are not equipped to run even the most basic tests.

As a result, they are failing to provide the Department of Health with the information it requires, which means they risk missing out on vital funding.

New software solutions designed around an individual Trust’s needs can tackle the problem by ensuring that key data is accurately recorded, activities fully reported and performance measured against targets.

The Datawatch|ES Balanced Scorecard for Healthcare solution enables Trusts to claim the funding they are due by capturing and reporting on all of the finished consultant episodes upon which payments are based. The software gathers data from a variety of different layers within each Trust’s recording systems and uses automated processes to generate alerts and reports based on up-to-date data for senior managers and Board members.

The Balanced Scorecard solution uses a “traffic light” system of alerts to indicate where there are problems, for example where targets are not being met, before it has a negative impact on the Trust.

Natalie Downs, health sector specialist at Datawatch, says that this provides NHS Trusts with the accurate, fast and in-depth reporting they have never had before. She explains: “Manual systems are still the norm in the NHS. They rely on people entering data, extracting it and creating reports, then feeding it up the reporting chain."

She explains: “It is a slow process and there is no way to assess the accuracy of the data. Also, because it is entirely paper-based, managers cannot drill down into the data and find out why a target has been missed. The Datawatch system allows them to see all the facts and figures on their desktops, just with a few clicks of the mouse.”

The Datawatch|ES Balanced Scorecard for Healthcare solution allows for a wide range of reports to be generated and customised to each Trust’s needs. These include annual business plans, work plans and exception reports. And since the solution works with a Trust’s existing IT systems, the cost and time to deploy usually associated with performance management systems is significantly reduced.

Datawatch solutions are based on a full understanding of the way healthcare trusts operate and the importance of hitting targets to secure payment. The system uses finished consultant episodes – the standard unit of treatment – and includes built-in prompts to ensure that the details of each episode are verified by the consultants themselves, together with the relevant HRG code for payment.

Another feature is the system’s ability to identify the primary episode from all those experienced by a patient, so that payment is linked to this and not to the first episode, which could be far less significant.

Natalie said: “We work closely with a large number of clients in the health sector and the public sector. We understand their concerns and priorities, and the complexity of their internal monitoring and re-charging systems. Our aim in developing this solution is to take the pain out of these processes so that health trusts can be confident that they are receiving all the payments they are due.”
