Award winning property developer standardises on EASY for its Electronic Document Management demands -

In the last three years Urban Splash has undergone significant growth, from 100 to 300 employees, and that growth is set to continue. But business success has also meant that more and more paper is being generated in each department and the business needed to respond with an electronic document management solution to reduce reliance on paper and increase efficiency and productivity as a result. Fred Doherty is Head of IT at Urban Splash and led the search for a document management company to partner with to provide both their short term and long term electronic document technology needs.

From a shortlist of three suppliers, EASY SOFTWARE was selected. Fred recalls the main selection criteria, “Most suppliers had reasonable technology that could handle the scanning, storing, archiving and retrieval functionality we needed, but they fell down on ease of use. We have a diverse group of users from highly skilled computer literates to construction staff who are not fully conversant with technology and whose priorities lie elsewhere, so the chosen system had to fit the demands of both groups and this is where EASY scored highest. It is truly very simple to use and has an appealing and friendly interface.”

Urban Splash will soon begin its EASY implementation starting first with the accounts function, scanning and storing the 2,000+ invoices that it processes each month. Fred explains, “We have many applications and departments that will benefit from EASY’s document technologies as we are swamped with paper in the form of drawings, plans, agreements, contracts, legal documentation to name but a few. Invoice handling takes up a lot of time and so will benefit quickly from being managed electronically enabling rapid retrieval, less time spent searching, filing and misfiling and will benefit us from a compliance and security perspective as we will have an audit trail of each document and its journey through the business.”

Urban Splash has currently got £130M of projects under construction and £1 billion in the pipeline so finding a quiet time to implement a document management system isn’t easy. However with its busiest build time, Christmas to April, almost out of the way, Fred and his team will kick-start the first document management project in accounts payable.
