The potential benefits that document & content management can bring to the Force are huge

- Kainos selected from a field of 70 to deliver an integrated Web Content Management, Document Management and Workflow solution -

London, UK, - February 18th , 2009 – Kainos, ( a leading IT consulting company, has today announced that it has been selected by West Yorkshire Police, the fourth largest police force in the UK, to implement, manage and deliver its Enterprise Content Management (ECM) project. Kainos impressed the West Yorkshire Police team demonstrating a solid understanding of their needs and proposing an innovative solution that would deliver the benefits they required. This was further supported by Kainos’s proven delivery of a number of highly referenceable and successful document & content management projects.

West Yorkshire Police serves approximately 2.1 million people over an area of some 2000 square kilometres and it employs over 5,200 police officers and 6,000 police staff. The force was struggling with its Intranet system which was unable to meet its increasing demands, both in terms of authoring and editing pages, and for general usage by the Force. Users were demanding a speedier and more visually appealing experience while authors needed the ability to apply security levels for information viewing, audit trail and change control features and a full search capability.

West Yorkshire Police followed a formal tendering process for an Enterprise Content Management solution, whittling down 70 expressions of interest to a final six companies that were invited to respond to the invitation to tender. Kainos was the unanimous choice.

The aim of this high profile project is to develop a solution that promotes and supports information sharing across the Force. It should prevent unauthorised access and information loss; ensure accuracy and integrity; offer a modern and contemporary look and feel; and enforce regulatory requirements for the retention, review and disposal of information. Kainos’s proposed solution and their approach to this partnership has been well received by the West Yorkshire Police evaluation team and great headway is being made in the early scoping phases of the project.

The Kainos team has proposed Microsoft SharePoint for the document management, collaboration and workflow elements of the project and Alterian for content management. Alterian ( is a strategic technology partner with Kainos.

Scoping and implementation workshops are already underway clarifying and identifying the projects’ high level needs. 40+ people have participated in 16 workshops so far, paving the way for the next stage of the project.

“This is a very important project for us and for the West Yorkshire Police team. The potential benefits that document & content management can bring to the Force are huge so this is a key project to demonstrate a sophisticated information management solution delivering key efficiency, compliance and productivity benefits wrapped up in an intuitive interface that means users really can find what they need, when they need it,” said Brian Reid, Sales Director at Kainos. “We are looking forward to a very successful, ongoing partnership with West Yorkshire Police.”
