Kainos had a wealth of experience in EDRMS projects and a deep understanding of SharePoint

- Phase 1 of GWH’s EDRMS project to improve the management and control of Trust policies and procedures, documents & records -

London & Dublin - June 30th , 2009 – Kainos (, a leading IT consulting company, has announced that it has been selected by Great Western Hospitals NHS Foundation Trust (GWH) to implement an EDRMS project that will improve the efficiency, control and management of the Trust's corporate documents including departmental policies and procedures. This is the first phase in a wider EDRMS project that will grow to address the wider electronic management of documents and records across the Trust.

Following the Catalist procurement model, the Trust set out to find a supplier who could demonstrate the appropriate technical and project implementation experience and expertise to manage, deliver and support its EDRMS project across its staged phases. Kainos confidently demonstrated its understanding and breadth of experience managing EDRMS projects and this was underpinned by positive customer references from both inside and outside the NHS. Kainos was duly selected as the Trust’s EDRMS project partner.

Key deliverables in phase 1 will include the implementation of a SharePoint solution on which all other work in Phases 1 & 2 will be based. All policy and procedure documents will be moved from the Trust intranet and network drives into document libraries within SharePoint. This will enable indexing and metadata search capabilities to be added. The project will also address version control, revision management, audit trail and sign off procedures. Finally this project experience will deliver a decision on the approach to be adopted for subsequent phases of the Trust’s EDRMS ambitions.

Julie Parish, IT Support Service Manager at the Trust acted as project manager in the search for an EDRMS partner and reports on how the project is now progressing. “Kainos had a wealth of experience in EDRMS projects and a deep understanding of SharePoint. The team has already led some key workshops to initiate the project and we are very pleased with the knowledge and expertise that they have demonstrated so far.” Julie continues, “This is a long term partnership and a phased approach to implementing EDRMS across the Trust, so the decisions we make now will impact its success in the future. Our aim is to improve the ease with which people can search and find information and this will have a positive effect on our efficiency and productivity.”
