Datix helps Sodexo reduce number of accidents at four major UK prisons and comply with HSE regulations

Sodexo Justice Services, which runs rehabilitative justice services at more than 120 sites across the world, has implemented Datix’s web-based patient safety software to reduce the number of accidents and other incidents at four major prisons in the UK, namely HMP Peterborough, HMP Forest Bank (near Manchester), HMP Bronzefield (Ashford, Middlesex) and HMP Addiewell in Scotland. At the same time, the deployment of Datix is helping Sodexo comply with Health and Safety Executive (HSE) regulations and annual reviews by the British Safety Council.

Sodexo evaluated three vendors in the marketplace before finally selecting Datix to replace the company’s existing paper-based accident book with a fully automated solution that could link all incident records together on one system. Sodexo was impressed by the versatility of the Datix technology and the high level of support the Datix team could offer.

Since implementing the Datix solution Sodexo’s 2,000 staff at four prison sites can now log incidents onto the Datix system within minutes. Once an incident has been reported, it is then submitted to the relevant line manager or senior officer for approval and further investigation.

The complete end-to-end process from initial reporting, interviewing witnesses through to putting in place remedial procedures and final closure now takes hours rather than days. What is more, by having an audit trail of each incident, we can review various incidents over a period of time to identify patterns of activity and quickly identify, then act upon potential problem areas. Today, we have an effective framework for addressing our health and safety issues.”

The deployment of Datix has also helped Sodexo comply with the Health and Safety Executive’s (HSE’s) directive known as the Reporting of Injuries, Diseases & Dangerous Occurrences Regulations 1995 (RIDDOR).

Similarly, Sodexo relies on Datix to meet the ongoing assessment by auditors of its ISO 9001, ISO 14001, ISO 18001 and ISO 27001 standards certification in addition to the British Safety Council’s annual review of its activities. As a result of its excellent processes, Sodexo recently achieved a 5-star rating, the maximum possible, for the organisation’s occupational health and safety operations.

Datix has stimulated cultural change with more staff than ever before reporting incidents and a new-found confidence at management level to measure performance.

Looking to the future, Sodexo plans to integrate the claims department’s records with the Datix system so that everything relating to a claim such as letters to insurers and solicitors can be linked back to the original incident. As a result, users will have a single and complete picture of how an incident has been processed from end-to-end. The company is also considering extending the functionality of the Datix system to other parts of the business, incorporating, for example, the organisation’s Work Desk Assessment policy and procedures into the Datix database.
