• Trustmarque’s Commercial Benchmarking team helps council understand the future impact of its procurement decisions, uncovering previously undetected flaw in home usage rights
York, UK, 31st October 2011 – Infrastructure and software solutions Value Added Reseller, Trustmarque, announced today that its work with Woking Borough Council has enabled the organisation to achieve significant cost savings while also enabling growth in its mobile workforce through future technology rights.
Woking Borough Council was spending in the region of £85,000 each year on its Microsoft Enterprise Agreement and with cost reduction firmly on the agenda, exiting the agreement altogether was thought to be an easy route to achieving the savings needed. Over a period of two weeks Trustmarque’s Commercial Benchmarking team worked with Woking Borough Council to better understand its business goals to create a technology roadmap for the next 3-6 years. Working through this process with the Council, Trustmarque was able to identify a major problem relating to home usage which would have a big impact on their future business strategy to introduce more flexible working practices.
“Before employing the services of Trustmarque we had also talked to a couple of other resellers who seemed comfortable with our decision and reasons for exiting the agreement. However, when we brought Trustmarque on board they looked a little deeper into our business requirements and identified an issue in relation to home use,” explains Adele Devon, ICT Manager for Woking Borough Council.
“It became evident that the core licences we had in place were device licences. This meant that if we were planning to implement more flexible options for staff to allow them to work from home or on the road this would cause problems. Accordingly the agreements that we had in place for the use of Blackberries, PDAs, laptops and so on would require that we procure additional software for each device. As mobilising our workforce was likely, we had to reconsider. Trustmarque was the only one that had identified this issue.”
With the help of Trustmarque, Woking Borough Council was able to save £120K over three years through the introduction of two new agreements which licensed per user rather than per device, enabling the Council to meet its business objectives.
“Software procurement is such a complex area and the comfort factor that we got from Trustmarque was invaluable,” Devon concludes. “Instead of just looking at numbers of devices and users, Trustmarque took the time to understand our business needs and it made a huge difference to the agreement we selected. Without this approach we would have potentially come out of the agreement which certainly would have cost us a lot more in the long term. Trustmarque went the extra mile and we benefitted.”

Through understanding what Woking Borough Council wanted to do as a business, we were able to show them the impact their procurement decision would have on these plans, in this case the introduction of remote working. Had they followed the advice of other resellers then they would have found themselves either restricted from a business perspective and unable to introduce more efficient working practices, or they would have been faced with a large bill to enable them to purchase software outside of the agreement. Through speaking to experts they have been able to cut costs without sacrificing on efficiencies.”
