Promapp chosen by Oman-based facilities management company to capture and improve processes
- Technology will provide blueprint for new ERP system
Promapp Solutions – an industry leading provider of cloud-based business process management (BPM) software has been selected by OIG International, a facilities management company based in Oman who provides outsourced cleaning, maintenance, pest control, landscaping and waste management services. The company has been established for over forty years and is looking to use Promapp to improve efficiency and streamline processes in readiness for the adoption of a new ERP solution.
CEO at OIG International, Tim Vallancey explains why they have invested in Promapp, “Although the business has always kept up with IT and innovation over the years, we have now reached a size where we need to think strategically about how we can best apply technology moving forward to boost our efficiency and profitability. Before migrating to a new ERP system, we want to take a closer look at our processes and fully document them.
“Promapp was introduced to us by external consultant JH Garnier & Associates Ltd as a powerful and exceptionally easy to use tool that could help us capture how we run our business and help the team to do their jobs more efficiently. Re-evaluating our processes will also provide an ERP vendor with a blueprint of how we operate today and how we would like to perform in the future, so they can supply a system that matches our exact requirements.
“Following the documentation of all “to-be” processes using Promapp, we will use this as an input to the RFI document for ERP vendors to present their solutions to us.”
Eliminating duplicated and unnecessary processes
According to Tim Vallancey the company’s processes have evolved organically over time. They were previously held in a number of paper-based standard operating procedures and quality manuals that contained some duplication and unnecessary or redundant processes, and while adhered to were more akin to shelf-ware and were only occasionally referenced.
With the adoption of Promapp’s cloud-based business process management solution, OIG will benefit from a centralised platform that will give employees easy access to streamlined procedures that can be commented on and modified over time.
OIG will roll out Promapp across the company and staff will be required to use the platform to manage their workflow and to make on-going suggestions about how existing business processes can be changed or improved.
Jimmy Garnier, Interim Business Change Consultant & Programme Director at JH Garnier & Associates commented, “A common theme in my consulting engagements is the need for businesses to be able to take a helicopter view of their operational processes, then dive down in to the detail of their procedures and the roles and responsibilities of the staff performing their activities.
“At OIG where I have documented processes and their content using Promapp, management and operations staff, where English is not their first language, cannot believe how their apparently complex world can be seen in a simple, easy to understand format. They immediately engage with the concept of business process management and take ownership for their process improvements. As a result, they are now experiencing true staff empowerment in action.”
Use of Process Variant Module for customised services
Tim Vallancey concludes, “Once the initial roll-out is completed we may also consider Promapp’s Process Variant Module that will enable us to easily tweak core processes for different customers.”
